Part Time Administrative Assistant (Property)

Job Description:

The Administrative Assistant will be responsible for aiding the property management team in the day-to-day operations of the property as well as provide best in class customer service to tenants, vendors and other property visitors.

  • Assist with phone operations, greeting visitors (general public, customers, delivery persons and contractors)
  • Assist with preparing tenant communications such as memos, building signage and so on.
  • Assist with administrative duties such as opening and distributing mail, maintaining accurate lease files, maintaining work order system.
  • Follow up with tenants on inquiries, complaints and/or work orders to ensure things have been completed to their satisfaction.
  • Strong organizational skills with ability to manage multiple projects simultaneously.
  • Assist with tenant move-in/move outs.
  • Maintain vendor and tenant insurance files to ensure they are not expired.
  • Prepare vacant spaces to ensure they are always tour ready.
  • AP & Billing: process invoices as directed by Property Manager, track receipts against purchase orders to ensure accuracy, track building expenses.
  • Accounts Receivable – track rent receipts and enter into Yardi as applicable and assist with rent collections.
  • Run GL on a monthly basis to ensure all contracted services are properly accrued or expensed.
  • Assist in coordinating building social mixers and tenant events.
  • This position is not eligible for telecommuting. 
  • Must be able to work consistently as scheduled during normal business hours.
  • Other duties as assigned.

  • High School Diploma or GED.
  • 1+ years of experience supporting a property management office.
  • Experience working with Yardi or equivalent software.
  • MS Office including Excel, Word, PowerPoint, Outlook.
  • General accounting best practices as it relates to property accounting.
  • Multi-tasking and prioritizing capabilities.
  • Must possess a valid state-issued driver’s license.
  • Ability to manage vendor and tenant relationships including managing the information flow and providing the information in a concise manner.
  • Strong communication skills with good written communication (good grammar, ability to write clearly, and able to communicate with professionalism).
  • Ability to keep an office organized (leases, insurances, operating files, invoices and so on).
